Head of Procurement (Warsaw)
SWAG42, a rapidly growing leader in innovative swag solutions, is looking for a strategic and results-driven Head of Procurement to join our team in Warsaw. Key Responsibilities
- Lead and integrate the operations of both the Purchase and Outsource departments, ensuring seamless collaboration and strategic alignment across all procurement activities.
- Develop and execute a comprehensive, long-term procurement strategy that supports SWAG42’s business goals, scalability, and innovation.
- Set clear objectives, KPIs, and budgets for the procurement function, and continuously monitor performance, reporting insights to senior leadership.
- Build, mentor, and grow a high-performing team — fostering a culture of accountability, collaboration, and continuous improvement.
- Design and implement standardized procurement processes, policies, and controls to ensure efficiency, transparency, compliance, and risk mitigation.
- Manage the full procure-to-pay cycle, from sourcing and negotiation to contracting, delivery, and supplier payment.
- Lead strategic supplier negotiations, securing optimal pricing, quality, delivery terms, and service level agreements with key partners.
- Develop and manage a robust vendor program, including supplier selection, qualification, performance evaluation, and relationship management.
- Identify new suppliers and outsourcing partners to diversify sources, reduce costs, improve lead times, and strengthen supply chain resilience.
- Drive cost reduction and value creation through data analysis, market intelligence, process optimization, and innovative sourcing models.
- Implement risk management frameworks and contingency plans to safeguard supply continuity and compliance.
- Leverage data and analytics to identify trends, forecast demand, and make informed, strategic decisions.
Requirements
- Bachelor’s degree in Business Administration, Supply Chain Management, Procurement, or a related field.
- 3–5+ years of leadership experience in procurement, with hands-on management of both internal purchasing teams and external outsourcing operations.
- Proven success in strategic sourcing, contract negotiation, and supplier relationship management.
- Strong understanding of procurement best practices, legal compliance, and digital tools used in modern sourcing environments.
- Excellent analytical and problem-solving skills, with the ability to translate data into actionable strategies.
- Exceptional leadership, communication, and interpersonal abilities — experienced in building and developing teams.
- Self-driven, proactive, and results-oriented mindset with a passion for operational excellence.
- Experience in manufacturing, promotional products, e-commerce, or retail is a strong advantage.

Key Responsibilities
- Receiving, storing, packing, and dispatching goods according to company standards.
- Maintaining accurate records and preparing necessary documentation.

- Supporting order picking and preparation for shipment.
- Working with digital systems (training will be provided) such as Odoo and Fibery .

Requirements

Key Responsibilities
- Monitor and update information on internal company orders (average of 50+ orders per week).
- Review order cards to ensure all required data is provided (shipping details, packaging, sizing, etc.).
- Ping responsible teams to remind them to submit or clarify missing information.
- Support communication across departments (Sales, Delivery, Logistics, Packaging, etc.) to keep order processes running smoothly.
- Assist in coordinating and moving orders through different workflow stages.
- Provide daily operational support to the Delivery Manager.
- Maintain ongoing communication with internal stakeholders (primarily the Sales team).
Requirements
- Demonstrates responsibility, strong attention to detail, and the ability to assess and prioritize information effectively.

- Execute the Sales plan.
- Work with outbound leads from our SDR team, including first qualification calls, negotiations, proposals, and closing deals.

Key Responsibilities
- Lead the end-to-end design, documentation, and control of all essential operational and business processes.
- Develop and implement process control mechanisms, including standard operating procedures (SOPs), work instructions, checklists, and quality control points to improve current process maturity.
- Define, implement, and monitor key performance indicators (KPIs) and metrics to measure process effectiveness, efficiency, and quality.

Junior Buyer, Warsaw
The primary purpose of the Junior Buyer’s role is to source, select and order the best possible merchandise items in a certain (mainly short) period of time from new suppliers or brands while also ensuring business financial objectives are met. Reporting to Senior Category manager.
Key Responsibilities
- Conduct research and analysis to find suitable vendors or suppliers according to Sales department requests
- Overall EU market research to identify new potential suppliers and assess their capabilities
- Negotiate with potential vendors terms and conditions, and accumulate the information
- Assess the offerings of suppliers in order to choose the most suitable one to meet the search criteria
- Work in ERP system
- Forward clear and structured information to Supply department to ensure orders are placed accurately and efficiently
Qualifications
- Don’t worry, if you don’t have extensive experience. If you are willing to work in an international, fast paced environment, we’ll give you the opportunity to develop.
- Experience in the merchandise or corporate gifting industry will be an advantage
- Excellent knowledge of English (Polish and/or Russian will be an advantage)
